Privacy & Data Notice

When you fill out an enquiry form or contact us through our website or Meta ads, we collect:

• Full name
• Phone number
• Email address
• Course interest and preferences
• IP address (for security and fraud prevention)
• Form submission metadata (timestamp, source platform)
• Meta advertising identifiers (fbc, fbp) if you arrived via a Meta ad

Your data is used solely for:

• Enquiry follow-up — our team will contact you to discuss your interest in Trace CRM
• Plan matching — to recommend the plan that best fits your business needs and goals
• Meta ad attribution — to measure which ads are effective so we can show relevant content to people genuinely interested in Trace CRM

We do not use your data for unsolicited marketing, profiling, or automated decision-making.

Your personal data is accessible only to:

• Trace CRM admins and assigned sales staff
• Platform infrastructure providers (Vercel, Neon DB) under strict data processing agreements
• Meta Platforms, Inc. — in hashed, non-reversible form for ad attribution only

We never sell, rent, or share your personal data with third parties for their own marketing purposes.

Your personal data is retained for as long as the account that captured your enquiry remains active on Trace CRM.

When an account is deactivated, all associated data is retained for a 90-day recovery window. After this period, all personal data — including your name, phone, email, and enquiry details — is permanently and irreversibly deleted. There is no recovery after this point.

If you request erasure at any time while the account is active, we will delete your personal data within 90 days, except where retention is required by law.

Under the Digital Personal Data Protection Act, 2023 (DPDP Act), you have the right to:

• Access — request a summary of the personal data we hold about you and how it has been processed
• Correction — ask us to correct inaccurate or incomplete data
• Erasure — request deletion of your personal data
• Grievance Redressal — raise a complaint about how your personal data has been handled, which we will address within 30 days

We take the security of your data seriously. Measures in place include:

• AES-256 encryption at rest on all database storage
• TLS 1.2+ encryption in transit for all data transfers
• JWT-based session authentication with short-lived tokens
• Audit logs on all data access and status changes
• Email and phone data hashed (SHA-256) before being shared with Meta CAPI
• Regular automated database backups via Neon DB branching
